WHAT is MFA

Multi-Factor Authentication (MFA) means providing a secondary authentication method besides a password; commonly a code from a text, call, or app. This is also sometimes call two-step verification.

WHY do we need it

This is an enhanced security feature to protect HIPAA information & required by some insurance policies.

WHO is affected

Staff working outside of a Nexus office on work or personal equipment. Staff working on-site of Nexus office at this time shouldn't be affected. Staff offsite should have their smartphone/tablet nearby while signing in.

FAQ - Frequently Asked Questions

  1. WHERE can I set this up?
    Anywhere you have a Nexus owned PC, smartphone (personal or work-provided), & internet. It works best on Nexus networks
  2. Will this give me access to work email/resources on my personal phone?
    No
  3. Will this give Nexus access to information on my personal phone?
    No
  4. How often will I need to do this?
    Setup is only completed once. After MFA is enforced (1/10/22) daily you'll 'approve' (on your smartphone/tablet) logins to work resources when you are not in a Nexus office
  5. What if my smartphone/tablet is dead or not near me?
    Please setup another authentication method (ex: phone number) to prepare for this situation. Should you not have done that you'll either need to charge/get device or contact IT
  6. What if I replace my smartphone/tablet?
    You can re-enroll MFA with steps above IF you setup another authentication method (ex: phone number). Should you run into trouble contact IT
  7. I use a company laptop/phone outside of a Nexus office, does this affect me?
    Yes, please register MFA ASAP
  8. How can I confirm MFA registration is completed as I am unsure?
    If you followed the steps in the links above you SHOULD be good. If you'd like to double-check go to https://aka.ms/mfasetup which should prompt 'Approve sign in request' then show something like this which shows the app registered you your smartphone/tablet model (SM-G970U in example below):
  9. What does the Microsoft Authenticator app show my location?
    This confirms the remote PC location is yours. A random smartphone/tablet approve prompt with a different location could be a criminal. The location is solely for security & securing HIPAA data
